Privacy Policy

Ethereal Sciences Academy (ESA) is committed to protecting your privacy. This policy explains what information we collect, how we use it, and what rights you have over it. ESA is operated by AO2 IT LLC, a California limited liability company. We do not sell your data. We do not run ads. ESA is funded entirely by student enrollment.

When you enroll:

• Name and email address
• Payment information (processed by PayPal — ESA does not store card data)
• Academic profile information provided during intake

When you use the platform:

• Course progress and quiz results
• RewriteNaturally and Prompt Lab usage (prompt count only — content is not stored)
• Login session data
• GuardIQ assessment integrity signals (during assessments only)

Automatically collected:

• IP address and browser type (standard server logs)
• Pages visited and time on platform

ESA uses collected information solely to:

• Process your enrollment and issue your credential
• Provide access to course materials and student tools
• Send transactional emails (enrollment confirmation, activation, certificate issuance)
• Maintain your permanent student record
• Respond to support requests
• Send ESA community updates if you have opted in via newsletter signup

We do not use your information for advertising, profiling, or sale to third parties.

All payments are processed by PayPal. ESA never sees, stores, or transmits your credit card or bank account information. PayPal's privacy policy governs all payment data. ESA retains only the transaction ID, amount, and date of purchase for record-keeping purposes.

Your student record — including enrollment history, credential status, and verification code — is retained permanently as part of your academic record. This is necessary to support credential verification at any future date.

Newsletter subscriptions can be cancelled at any time via the unsubscribe link included in every ESA email. Newsletter data is removed within 30 days of unsubscribe request.

ESA stores all student data in a secured SQL Server database hosted on Winhost's managed infrastructure. Access is restricted to authorized AO2 IT LLC personnel only. All platform traffic is served over HTTPS. Passwords are hashed and never stored in plaintext.

ESA uses session cookies to maintain your login state while you are using the platform. These cookies are essential to platform function and do not track you across other websites. ESA does not use advertising cookies, analytics trackers, or third-party tracking pixels.

You have the right to:

• Request a copy of the personal data ESA holds about you
• Request correction of inaccurate information
• Request deletion of your account and associated data (subject to academic record retention requirements)
• Opt out of newsletter communications at any time

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. ESA does not sell personal information. To exercise your CCPA rights, contact contact@esciences.academy.

ESA is intended for users 18 years of age and older. We do not knowingly collect personal information from minors. If we become aware that a minor has enrolled, we will terminate that account and delete associated data.

ESA may update this Privacy Policy from time to time. Material changes will be communicated to enrolled students via email. Continued use of the platform after changes are posted constitutes acceptance of the revised policy.
